Estimating a job with AI

Editor-reviewed

Summary

Estimating eats evenings: measuring, figuring labor hours, building a materials list, applying markup, and writing it up clearly. Short answer: use Claude (turns your measurements and production rates into a line-item draft you then price). Free option: ChatGPT. The workflow has 8 steps and 7 copy-paste prompt(s); expect expect quantity tables with the math shown, a labor-hours breakdown based on your rates, a blank-price materials list, and a price calculation you can check line by line. Main caution: AI arithmetic and unit conversions can be wrong. Recheck every quantity and total.

The problem

Estimating eats evenings: measuring, figuring labor hours, building a materials list, applying markup, and writing it up clearly.

All tools mentioned

Step-by-step workflow

  1. Get measurements: walk the site with a wheel/tape, or use an aerial measuring tool. Take clear photos of each area.
  2. Paste measurements and photo notes into the takeoff prompt to get quantities (sq ft, linear ft, cubic yards, plant counts) with the math shown.
  3. Use the labor prompt with YOUR production rates (e.g., hours per 100 sq ft of sod from your past jobs). If you do not have rates, ask AI to list what you need to track, not to guess.
  4. Build the materials list, then price it with your supplier's current prices.
  5. Apply your own overhead recovery and markup/margin targets; ask AI to show the math so you can check it.
  6. Have AI turn the final numbers into a client-friendly proposal without changing any figures.
  7. Compare against similar past jobs before sending.
  8. Also try: record a voice memo while walking the property, then ask AI to turn it into a line-item estimate draft for you to price.

Copy-paste prompts

Prompt 1
Takeoff: I am estimating a landscape job. Measurements: [area name: dimensions or sq ft; bed depths; linear ft of edging/wall]. Photo notes: [describe]. Calculate quantities for: sod/seed (sq ft), mulch (cubic yards at [X] inches deep), soil amendment, edging (linear ft), plants (count at [spacing]). Show every calculation step and add a waste factor of [X]% as a separate line. Do not assume dimensions I did not give; list questions instead.
Prompt 2
Labor hours: Using these production rates from my company [task: hours per unit], estimate crew hours for these quantities [paste takeoff]. Crew size [X]. Show hours per task, total crew hours, and days on site. Flag any task without a production rate instead of guessing.
Prompt 3
Materials list: Turn this takeoff into a materials list grouped by supplier type (nursery, landscape supply, irrigation). Leave unit prices blank for me to fill in.
Prompt 4
Markup: My costs: materials $[ ], labor hours [ ] at burdened rate $[ ]/hr, equipment $[ ], dump/disposal $[ ]. Overhead recovery: [method/percent]. Target net margin: [ ]%. Calculate the selling price and show the math step by step. Explain the difference between markup and margin using my numbers.
Prompt 5
Writeup: Write a clear client proposal using ONLY these final numbers and scope. Do not change prices or add services: [paste].
Prompt 6
Turn this site-walk voice memo transcript into a draft line-item estimate: area, task, quantity, unit. Leave prices blank and list anything I didn't measure as MEASURE. [paste transcript]
Prompt 7
Write a follow-up email after today's estimate appointment with [client]: recap what they want [ ], next steps [ ], and when they'll get the proposal [date]. Short and personal; no em-dash-heavy AI style.

What to expect

Expect quantity tables with the math shown, a labor-hours breakdown based on your rates, a blank-price materials list, and a price calculation you can check line by line.

Limits & safety

  • AI arithmetic and unit conversions can be wrong. Recheck every quantity and total.
  • AI does not know your real costs, production rates, supplier prices or overhead. Use your own numbers, never AI-guessed prices.
  • Photos alone are not reliable for dimensions; measure on site or with a measuring tool.
  • Compare against your historical job costs before sending a bid.
  • LMN's Beam AI measurement integration is described in LMN's help docs; we haven't tested it.
